About the system environment

Q.I see that SmartBee is a cloud service, but is it secure?
A.

SmartBee has the following security measures in place.

  • - It is powered by Amazon Web Services (AWS), a service with a world-class reputation for reliability and security.
  • - We issue a unique URL for each customer. No one can access your system unless they know your URL.
  • - We restrict access to the AWS server to us.
  • - All communications are encrypted using SSL. Even if a third party eavesdrops, they cannot see the content.
  • - The application also allows you to set password policies and lock users.
Q.Can I use a notebook instead of a smartphone to operate the system on site?
A.

SmartBee is a web-based system and device-agnostic. IPhone/Android smartphones, tablets, and computers are all available.

Q.Does field staff need to download your application?
A.

Since SmartBee is a web-based system, no download is necessary. It also requires no re-distribution for upgrades.

About the contract, plans, and fees

Q.How soon can we start using the service after we apply?
A.

We will prepare your environment within five business days of receiving your application.

Q.Is there a minimum contract term? Can I change my plan or fee mid-contract?
A.

We do not have a specific contract term. You can unsubscribe at any time when you no longer need the service. In that case, please notify us by the 19th of the month you wish to do so. The fee is a pay-as-you-go model and changes based on the disk space you use.

Q.Is there a user limit?
A.

Users are unlimited.

Q.I see that SmartBee is a cloud service, but is an on-premise version available?
A.

It is available. Please contact us separately for terms, fees, and support details.

Q.Can I check my disk space usage?
A.

You can see it per project on the screen.

About the capabilities

Q.Is it possible to use the system for multiple departments or jobs? If so, do we need to pay extra?
A.

Yes, it is. You can create multiple projects and tasks on the system for that purpose. There will be no additional charges.

Q.Can we assign properties to each constructor and hide properties from unrelated companies?
A.

Yes. Assigning a job includes specifying companies and persons responsible; unassigned companies and people cannot view the job data.

Q.Can I track the time spent on each work unit?
A.

Yes, the system records and displays the update time of each work unit for you to see.

Q.Does the system have a feature for progress management?
A.

You can view the progress against a schedule in the system. The system also allows data to be searched by various parameters, such as area, owner, and status, for example, for analysis purposes.

Q.What input formats can be specified for work item fields?
A.

Various formats are available: text, numeric text, date, select box, radio button, check box, text area, photo, video, handwriting, file, etc.

Q.s it possible to set repetitive tasks on the same property, such as periodic inspections?
A.

Yes, it is possible to set up and manage recurring jobs according to your cycle, such as yearly, monthly, or daily.

Q.Does the messaging function also allow us to track who has read messages?
A.

The function shows which on-site workers have read/not read a message. It also displays an alert for unread messages whenever they log in.

Q.Does the system have a manual reference function for on-site workers?
A.

PDF manuals can be registered to SmartBee for reference from the job site.

Q.Is there a workflow-like function to approve/return reports from on-site workers?
A.

Yes, managers can approve or return reports for properties whose status has been updated to "completed" by on-site workers. When a report gets returned, an alert will show up when the responsible person logs in.

Q.Does changing the names of on-screen items require customization?
A.

You can freely change the on-screen item names to suit your operations: for example, from "property name" to "building name" or "store name".

Q.Can I use the system for inventory?
A.

Yes, you can freely create work data that suits your job, including inventory. We will assist you with setting up work data.

Q.Is there a mechanism to prevent work omissions?
A.

Project statuses cannot be updated to complete until all pre-defined work items are done, which eliminates omissions due to incomplete data entry. You can also make any work item fields required.

Q.Is it possible to save data while the work is still in progress?
A.

Yes, you can save data after completing each work item. Managers can also view saved data for work in progress.
